Main Duties and Responsibilities
- To ensure that the offices are adequately staffed at all times, allowing for annual leave and emergencies, and making plans in adequate time.
- To ensure that there is adequate 7-day cover, managed from the offices.
- To ensure that all new staff are adequately and appropriately trained by personally overseeing induction and introduction to the Company, its systems and procedures (as defined in the Company operational documentation) and by documented timely and comprehensive liaison with colleagues who will be responsible for the same.
- To manage through Care Co-ordinators the day to day delivery of the service(s) in accordance with the individual Social Services Contracts that the Company holds and in conformance to CSCI, in particular to ensure that initial home visits and risk assessments are carried out, and that care plans are present and up-to-date at all times.
- To manage the performance of Care Co-ordinators, including monitoring overall performance against contract, growth, quality of customer service, monitoring and spot-checking delivery of day-day service, exercising discipline as and when necessary according to company procedures.
- To perform regular formal appraisals of staff under his control according to company standards.
- To monitor business enquiries (both private and social services) and supervise responses.
- 8.To perform timely identification of need for and recruitment of organising and out of hours staff.
- To deal with efficiently and within planned and acceptable timescales any day to day issues arising such that the situation is resolved to the satisfaction of all partied and that all issues are addressed and dealt with.
- To monitor and encourage growth and development of individual areas.
- To maximise new business opportunities.
- To produce management reports with regard to the actions and activities of his staff to demonstrate wholly and conclusively that positions are being carried out to the full and responsibilities within each role being met.
- To ensure that all staff under his control has a training and development plan related to the responsibilities and development plans.
- To communicate effectively at all levels internally as needed.
- To ensure that changes in staffing arrangements are communicated throughout the Company to all staff in advance in order that everyone is aware of what is happening.
- To communicate effectively with customers, suppliers, local authorities and other professional bodies including attending Local Authority Providers meetings.
- To attend monthly management meetings and prepare for these in a full and timely fashion.
- To organise, run and document regular working review sessions with Area Organisers, with set agenda and weekly performance monitoring figures.
- To ensure that relevant members of management are alerted of out-of-line situations as soon as possible.
- To work towards producing more and better management information.
- To work towards continuous improvement in the company by present justifiable and watertight business cases for planned improvements.
- To learn from experience and improve own overall performance.
Authority
- To deliver reasonable instructions to personnel under their responsibility to carry out required work on behalf of the company.
- To verbally reprimand personnel under their responsibility; in the case of repeated breach or a single gross breach of discipline, to alert the Directors immediately.
- Need statement re authority to recruit and offer salary
- e.g. ‘To recruit direct reporting staff and to supervise recruitment of Carers, in line with
- company Recruitment Process’.
- Need statement re authority to issue or alter contracts of employment
- e.g ‘To issue contracts of employment in line with company Recruitment Process and to
- seek approval of MD and HR function in the case of a need to vary the standard contract
- of employment.
- Need statement to cover expenses signoff
- e.g. ‘To sign off expenses of staff within span of control in line with company policy’.
